Tracking Cash Payments

PDCflow's Cash Service lets you track cash payments using the same familiar Dashboard workflow as Card and Check transactions.

Key Benefits

  1. PDCflow provides a single system for accepting payment types with identical configuration options.

  2. Generate email/print receipts for customers.

  3. View cash records alongside Card/Check transactions in Reporting > Financial Reports > Cash Approved. Void transactions directly from payment details (until already voided).

 

Setup and Use Cash Service

To get started, enable Cash Service for your account.

  • Option 1: Contact sales@pdcflow.com to request Cash Service.

  • Option b: Log into your app → Configure > Payments Settings and click the Request Cash Tracking button. PDCflow receives auto-notification and emails you when activated.

Manage Cash Templates

Manage Templates

Once enabled, add/edit cash templates the same way as other payment templates. Go to Configure > Templates. Add a new cash template or edit existing cash templates as needed.

After adjusting the template configurations as needed, click Save.

Record Cash Payments

Fom the Dashboard, select a cash template ("Take Cash Payment"). Enter payer's account numberfirst/last name, and optional details (location, address, memo). Click Process Payment. Afterwards, you can access options for emailing and print the receipt.

View and Void Cash Transactions

Find cash records in Reporting > Financial Reports > Cash Approved. Search/filter alongside other payments. To void, open record (file icon) → Void button (circle with slash). Already-voided transactions can't be voided again.
