Bulk Payments

The PDCflow app allows you to process transactions individually or in bulk through a simple CSV upload. Both ACH (Check) and Credit Card payments are supportedn to offer merchants a method to import data to a PCI-compliant and secure system.

Configure Templates for Bulk Payments

  1. Go to Configure > Templates from your account’s main navigation.

  2. On the Templates page, either open an existing Card or Check template or add a new one.

  3. Click to select the Send One Flow or Import a List area in the preview area and then adjust the configurations as needed.

  4. Determine the default selection for the field Send One Flow or Import a List: Choose whether this payment template should default to Single Payment or Bulk Import when used by an employee.

    1. Single Payment: Sets single transactions as the default option.

    2. Bulk Import: Sets bulk uploads as the default option for this template.

  5. Determine the Dashboard View for the Send One Flow or Import a List field is visible (and therefore editable) when the template is used.  
    1. Hide: Locks the default option you selected, allowing only that transaction type (e.g., Single Payment only).

    2. Require: Let users choose between Single Payment and Bulk Import each time they use the template.

  6. When you've completed any other necessary adjustments, click Save.

 

Download an Example File

  1. From your Dashboard, select the appropriate template.

  2. Choose Bulk Upload (if applicable).

  3. Click the help icon (?) next to the Bulk File field and Download the Example File to download a sample CSV file to your computer. Using this example file to format your records will help your payment import process immensely.

Setting Up a CSV File

When preparing your bulk payment CSV, keep these requirements in mind:

  • The file must be in CSV format.

  • The header row must match the example file.

  • Columns can be in any order but must include the required headers.

  • The file can include up to 1,000 transactions.

  • Fields marked with an asterisk (*) are required.

  • Unrecognized fields will be ignored.

  • The template is configured to accept PDCflow payment tokens. If you’re uploading raw payment data, replace the “TOKEN” header with CARD_NUMBER or BANK_ACCOUNT_NUMBER.

 

Processing Bulk Payments

  1. From your Dashboard, select the template configured for bulk uploads.

  2. Click Choose File and upload your CSV.

  3. (Optional) Add a description in the Bulk Upload Description field — this will appear alongside the Bulk ID in Financial Reports.

  4. Select the merchant account, if required.

  5. Click Process Payments to begin processing your payments.

  6. A Bulk Import Processing page will appear with directions to check your email to view the results of this import.

  7. When the import has finished, an email will notify you of the number of successful and failed payments. A quick link to a report listing the records.

  8. To track progress, you can also navigate directly to Reporting > Financial Reports and search for all Transaction Statuses to pull a list of records for your review.

 

Handling CSV Errors

If errors occur during upload, PDCflow will immediately display a list of issues. You can review the details and download a CSV of the errors. These issues must be resolved before the file can be successfully re-uploaded and processed.
